Overview

Talent Agent (“we,” “our,” or “the platform”) is a recruiting marketplace that connects candidates with employers through structured profiles and AI-powered evaluation. This Privacy Policy explains what data we collect, why we collect it, and how it is used within the platform.

By using Talent Agent, you agree to the practices described in this policy. If you do not agree, please do not use the platform.

Data we collect

Account information

When you create an account, we collect your name, email address, and password. For candidates who complete the onboarding process, we also collect role preferences, experience level, and availability.

Candidate profile data

Candidates build a structured professional profile that includes work history, skills, education, career goals, and preferences. This data is provided voluntarily and can be updated or removed at any time.

Recruiter and company data

Recruiters provide information about their organization and the roles they post, including job titles, requirements, compensation ranges, and location. Company profile information may be visible to candidates as part of job listings.

Usage and interaction data

We collect data on how users interact with the platform - including pages visited, features used, and actions taken - to improve the platform experience and evaluate matching quality.

Communications

Messages sent through the platform between candidates and recruiters are stored and may be reviewed for safety, support, and quality purposes.

How we use your data

• - Matching and evaluation: Candidate profile data is used to match candidates to roles and to generate evaluation assessments based on recruiter-defined workflows. This is the primary purpose of the platform.
• - Platform operation: Account data is used to authenticate users, manage access, and provide platform features appropriate to each role.
• - Platform improvement: Aggregate and anonymized usage data is used to improve matching quality, evaluation accuracy, and platform features.
• - Communications: We may use your email address to send platform notifications, match alerts, and product updates. You can opt out of non-essential communications at any time.

AI processing and AI providers

Talent Agent uses third-party AI providers (currently OpenAI) to power core features - extracting a structured profile from your resume, evaluating candidate-role fit, and drafting summaries. To do this, we send relevant data to the provider, including the text of uploaded resumes and your structured profile fields. We do not upload your original files to the provider; we extract their text within our own systems first.

Under our agreements with these providers, your data is not used to train AI models, is not sold, and is not used for any purpose other than processing your request for us. Providers may retain submitted data for a limited period (up to 30 days) for security and abuse monitoring, after which it is deleted. AI-generated assessments are decision-support tools and do not by themselves determine hiring outcomes.

How data is shared

We do not sell your personal data to third parties.

Candidate profile data is shared with recruiters only in the context of active job matching - and only when a recruiter advances a candidate in their hiring pipeline. Before that point, candidates are evaluated based on structured profile data without personal identifiers being surfaced to the recruiter.

We may share data with service providers who help operate the platform - including cloud infrastructure (Google Cloud), AI providers (OpenAI), email delivery, and payment processing - under appropriate data processing agreements. These providers process data only to perform services for us and are contractually bound not to use it for their own purposes.

We may also disclose data when required by law, or to protect the rights, safety, and integrity of the platform and its users.

Data retention

We retain your data for as long as your account is active or as needed to provide the service. You may request deletion of your account and associated data at any time by contacting us. Some data may be retained in aggregate or anonymized form after account deletion. Data sent to our AI providers for processing is subject to those providers' limited retention windows (up to 30 days for abuse monitoring) and is not retained by them to train their models.

Your choices and rights

• - You can update your profile and account information at any time from your dashboard.
• - You can opt out of non-essential email communications through your account settings.
• - You can request access to the personal data we hold about you.
• - You can request deletion of your account and associated data.

Security

We use industry-standard security measures to protect your data, including encryption in transit and at rest, access controls, and regular security reviews. No system is completely secure, and we encourage users to use strong passwords and protect their account credentials.

Changes to this policy

We may update this Privacy Policy as the platform evolves. When we make material changes, we will notify users via email or a prominent notice on the platform. Continued use of the platform after changes take effect constitutes acceptance of the updated policy.
